Why do you need to report your stay?
First, because it is mandatory (see the point below). Second, because the purpose of the registration is to protect children who are outside their parents’ authority or supervision and also to protect the organizers in order to prevent accidents.
In this case, the SDJES will check the criminal records of all adults registered for the camp, verify the staff-to-child ratio, and ensure that the selected facilities (when the camp takes place in France) meet various safety requirements for hosting minors.

When do I need to report my stay?
- If there are at least 6 minors in my group on any given night, regardless of where I am staying (in France or abroad)
- If my trip is not DIRECTLY related to a competition (so I do not report it if I am with minors during a competition, but I do report my training camp the training camp place BEFORE the competition at a location other than the competition venue)
What are the prerequisites I need to know?
- If your training camp organized exclusively for your members—all of whom are affiliated with the same federation—then it is considered a SPORTS CAMP and not a VACATION CAMP (the supervision rules differ).
- For a sports camp, there must be at least two adults supervising—regardless of the number of children present. It is therefore prohibited to go on a trip alone with 8 children, for example.
- If your stay is in FRANCE, you must choose a place to stay that has a “local” number, meaning it is authorized to accommodate minors. Most hotels are therefore excluded from this program (unless an exception has been approved by the local SDJES).
- When traveling abroad, there is no specific local number, but you are required to choose an establishment that ensures the safety of minors staying there (fire, intrusion, general safety, etc.).

I don't want to report my stay. What are the consequences?
If no declaration is filed, the person organizing the trip faces up to 3 years in prison.
How do I register my stay?

If you do not yet have administrator access, you must contact the SDJES in your department to obtain access to this platform.

The registration process then takes place in two stages:
– Initial registration -> At least 2 MONTHS IN ADVANCE, in which I state my “intention” to organize a sports camp with minors
– Supplementary form -> 10 DAYS IN ADVANCE, in which I provide all the details required for the camp’s registration (supervisors, certifications, etc.)
Upon completion of this declaration, I will receive a declaration receipt—please note that this document is for reporting purposes only and in no way guarantees that you are in compliance once the training camp . If in doubt, please do not hesitate to contact the SDJES in your department
How does an inspection by the school district’s education office take place?
Most inspections are conducted at random. The inspector verifies that the information reported on the TAM form accurately reflects the actual conditions on site. They also inspect the overall safety of your stay, paying particular attention to the number of adults present, the safety of the accommodations, and the health and physical and emotional well-being of the young people.
During the inspection, you will be required to present several supporting documents (non-exhaustive list):
- The Declaration Receipt
- The association’s educational mission (the club’s mission statement, which broadly explains the association’s purpose)
- The educational plan for the trip, which should outline the trip’s general framework, schedule, objectives, educational activities, etc.
- The attendance record for minors—which proves that children are counted and checked in at all times
- The infirmary log that records all medical and health information about the children
- Health records for minors and supervisors
- The supervisors’ credentials, which enable them to perform their duties at the camp and in the field (Sports Code).
What happens in the event of a breach?
The inspector will assess the severity of the violation and the safety risks to the young people—he or she may require the situation to be corrected immediately or, failing that, terminate the stay by prefectural order
If the violation is “minor,” the club receives a reminder of the law, documented in an inspection report.
